The latest Formbird FLEET Professionals Community meet-up is now available to watch on replay.
In this session, we focused on two topics that are high on the priority list for many councils and fleet teams: repeat pool vehicle bookings and a new booking costing model. We also shared a first look at new reporting designed to give fleet and finance teams better visibility of asset usage, demand, utilisation and booking behaviour.
Adam walked through how repeat bookings work in practice, including how teams can configure permissions, manage visibility, and support different operational workflows. He then stepped through the updated charging approach, which is designed to support fairer cost recovery by combining hourly and daily rates, appropriately capping charges, and allowing organisations to define when their charging day starts.
The second half of the session introduced a new set of booking reports. These reports are designed to help organisations answer practical questions such as:
- Do we have enough vehicles in the pool?
- Which assets are underutilised?
- When does peak demand occur?
- How are people actually using the booking system?
Together, these enhancements give fleet teams a stronger foundation for decision-making, whether that is improving utilisation, adjusting pool size, refining booking rules, or feeding booking data into finance processes.

Why this session matters
For organisations managing shared fleet assets, booking is only part of the picture. The real value comes from turning booking activity into operational insight.
This meet-up showed how Formbird FLEET supports that by helping organisations:
- streamline repeat bookings
- apply fairer and more configurable charging rules
- identify peak demand periods
- spot underused assets
- understand booking behaviour in more detail
These are the kinds of insights that can support better planning, stronger accountability, and more informed fleet decisions.
