Formbird FLEET updates and fixes 22 June 2022

As part of our ongoing commitment to continuous improvement, we share the latest fixes and improvements applied to the Formbird FLEET.

Because FLEET is a web app, when we apply an update, it will be reflected in all of our customer’s applications. 

Fixes

  • Fixed an issue where the Technician Dash would timeout. 
  • Fixed an issue where the Toll Import would timeout + added checking for duplicates. 
  • Fixed usability for some tablets adding space at the bottom to improve scrolling.
  • Fixed the “Asset Services Remaining Report” to display the number of service configurations the asset has and changed the asset link to navigate directly to the asset maintenance view. 

Export Improvements

  • When the user wants to repeat an Asset Export, they can now save their preferences of field selection. 
  • All exports can now be found in the “Exports List” in the Reports section. 

Report Listing Improvement 

  • The list of reports can now be viewed as a grid by selecting the ‘Grid View’ checkbox. 

Asset Documents Improvements 

  • Videos can now be embedded – see the Help Centre for instructions. 
  • These documents can be easily accessed from Work Orders related to the asset. 

Help Centre

Fleet Conference 2022 – The word on everybody’s lips?

At the recent IPWEA fleet conference in Brisbane, members of the local government community and vendor representatives gathered to discuss all things fleet. But what was it that everybody wanted to talk about? – Read on.

At the stand in the main hall, Formbird’s team rubbed shoulders and exchanged ideas with a steady stream of customers and soon-to-be customers.

Mark Hosking, CEO and founder of Formbird, was also fortunate to be invited to speak. He presented his thoughts on the theme of the conference. – Leading Fleet Management Through Change.

Hosking took a deep dive into the big idea that underwrites his guiding philosophy; great software transforms an organisation’s information into communication.

His tenant is that fleet managers should be making decisions based on data, not spending their time managing the data resonated with the crowd, and he welcomed the feedback after the presentation.

Did he get to the topic that everyone wanted to hear about? Electric vehicles, yes! To summarise Mark’s thoughts, electric vehicle adoption will be a crucial milestone for fleet information management systems (FMIS). FMIS, by automating data collection, will take the drudgery of fleet data collection, enabling rich data analysis at its highest quality.

Automating data collection will enable organisations to focus on the big picture and establish a predictive model to deliver results for fleet managers.

This “future-focused” fleet management model will deliver a continuous improvement cycle. That will give fleet managers a good night’s sleep, knowing that their processes retain corporate knowledge and promote operational safety.

Adopting continuous improvement practices will drive innovation giving fleet managers the fleet they planned for, not the fleet they ended up with. In Mark’s words,

You don’t want to end up like Mediocrities.

Create a new Asset Category, Body Type or general asset Tag

Asset Categories, Body Types, and general asset Tags can be customized to fit your organization’s needs. Asset Categories typically group assets by a specific attribute (e.g., mass), while Body Types group them by function or physical properties.

Note: Modifying an existing tag won’t automatically update assets previously assigned that tag.

To create a new Asset Category, Body Type, or general asset Tag:

  1. Go to the Tag List under the Configuration dropdown on the admin homepage.
  2. Click the New Tag button.
  3. Name the tag.
  4. Choose the ‘Type’ field where the tag should appear.
  5. Set the ‘Sort Position’ value to control the tag’s order in the dropdown, considering other tags in the same field.
  6. Select the template(s) the tag should be available on in the ‘Applies To Template’ field.
  7. Save the changes.

Note: You can select multiple options in both the Body Type and Asset Category fields.

Clone an existing asset

To add a new Asset to your asset list, follow these steps:

To simplify replacing an existing asset with a similar one, the Asset Cloning feature allows you to copy specific fields from the old asset to the new one, reducing manual data entry.

To clone an asset, follow these steps:

  1. Navigate to the System Administrator Menu and hover over the Configuration button to reveal the dropdown menu.
  2. Choose Asset Templates.
  3. Scroll down to the ‘Clone An Existing Asset’ section at the page’s bottom.
  4. If a suitable ‘Clone Mapping’ document isn’t available, create one by clicking the plus button next to the field.
  5. Choose an asset to clone.
  6. Asset Components To Clone will automatically fill in based on the selected asset. Remove any undesired components by clicking the ‘x’.
  7. Pick a Clone Mapping document.
  8. Input a unique Asset ID.
  9. Determine the asset’s status and allocation status.
  10. Choose the responsible workshop and person (optional).
  11. If you want to clone the existing asset’s components, check the ‘Clone Components’ box.
  12. Click the Clone button to create a new asset document in a separate tab, with fields copied from the cloned document according to the chosen mapping document.

To create a Clone Mapping document, follow these steps:

  1. Go to the Asset Templates page and click the plus button next to the Clone Mapping field. This will open a new Clone Mapping document.
  2. Give the mapping document a name.
  3. Link the document to an Asset Template.
  4. Choose the fields you want to include by using the checkboxes, or click the ‘populate defaults’ button to select standard fields automatically.
  5. Save your newly created Clone Mapping document.
