A Renewable Future for Australian Utes and Utilities

Transgrid, one of Australia’s largest electricity network companies, is leading the charge towards a renewable energy future with the launch of the first dual-cab electric ute trial in the country. The company’s fleet manager, Ryan Thomas, said the trial would test the LDV eT60 double-cab ute to determine whether it meets operational requirements on its 13,000km transmission network.

“We’ll be gauging the impacts for our people working in the field, including charging and towing requirements, so we can better understand the issues that will make the transition to electric utes as seamless as possible,” he said.

According to Mr Thomas, the LDV eT60 electric ute has a 130kW/310Nm electric motor and an 88.5kWh battery pack. The company expects the electric utes to deliver operational savings, including around a 50% reduction in fuel costs.

Transgrid’s CEO, Brett Redman, said the company is committed to reaching net zero by 2040 and eliminating all emissions from its passenger and commercial fleet by 2030. “Our future will be powered by clean energy, and this trial is part of Transgrid’s commitment to a greener fleet and reducing our environmental impact,” he said.

The company’s fleet of 400 commercial diesel vehicles and 28 passenger vehicles collectively travel more than 14 million kilometres each year. More than half of the passenger fleet is already fully electric or hybrid.

Minister for Climate Change and Energy was present at the launch of the electric ute trial and commended Transgrid’s move towards electric vehicles. “We know that electric vehicles are cleaner and cheaper to run, and it’s good to see Transgrid making this smart investment to get the first commercially available electric utes on the road for their business,” he said.

Implementation of Formbird is the latest in a string of initiatives Noel has put in place to improve the efficiency and safety of DPWH operations. In 2015, DPWH adopted ISO 55001:2014 (asset management) in its fleet management program and upgraded its ISO 9001:2008 quality management certification to ISO 9001:2015. It has since obtained certification to ISO 45001:2018, covering occupational health and safety, and has adopted reliability-centred maintenance’ (RCM), a process that ensures maintenance tasks of all kinds — preventive or predictive — are performed in an efficient, cost-effective, reliable, and safe manner.

Formbird FLEET, which Noel will deploy in his latest efficiency-boosting initiative, allows organisations to manage individual fleet assets, rather than managing a ‘class’ of fleet assets. It provides more than 100 forms, 130 business rules and 30 reports and is able to integrate with existing corporate applications.

More than three million assets managed

Formbird presently manages more than three million assets across 10 organisations. These assets range in value and complexity from a whipper-snipper worth a few hundred dollars to a channel dredger worth $6 million.

Formbird FLEET is able to take in information from assets in real-time and make this information available to those who need it. It builds and makes available a complete picture of every asset. Information is updated when a vehicle is serviced, when it is refuelled when the driver lodges a daily check sheet.

Fleet management and tax compliance – Tenterfield Shire Council gets moving with Formbird

Formbird FLEET provides local government actionable maintenance trend data. 

Brad Foan, Manager of the Fleet at Tenterfield Shire Council in Northern NSW, manages a fleet of 134 vehicles using primarily paper-based systems and Excel spreadsheets. 

When approached by Formbird to trial their industry-aligned fleet management system, built on Formbird’s low-code development platform, Brad jumped at the chance.

In the past “We had to use whatever the finance team had picked for its enterprise management software,” he says. “That manages the financial side, but not much else. So we were looking for a solution that would capture all our service reports and give us reports on modes of failure and predict maintenance”.

“Previously drivers had to fill in a paper-based fault report which was then entered into the system, and there were many ways that process could fall down,” Foan says.

“Now the whole process of scheduling the vehicle for repair and returning it to the operator is tracked in Formbird.”

Once the council has accumulated enough vehicle usage data into Formbird, Foan says he expects it to provide actionable information on maintenance costs and running cost trends.

“We’ll probably need to get about 12 months worth of data in there before it becomes the go-to for all information. I’m currently using Excel. Moving forward it looks like it will be a fantastic way to go once we get some data in it will schedule our maintenance out of the box.”

Formbird’s Industry-aligned SaaS delivery model also appealed to Foan. Because the council pays a monthly fee with no lock-in contract, he did not have to face the challenge of getting approval for a significant budget outlay.

Also, he believes this mode of delivery will result in continuous innovation.

“A binding contract or subscription locks nobody in, so Formbird has an incentive to keep developing so they don’t fall behind in the market.”

BRAD FOAN – TENTERFIELD SHIRE COUNCIL

GPS trackers installed in vehicles will raise an alert if the vehicle is moved before the check has been completed.

The Formbird fleet management system is accessible from mobile devices. Now drivers go through a pre-start check in the morning and report any problems immediately logged in Formbird. When issues arise out on the road, they can take photographs on their mobile and attach to the report in Formbird.

Once the entire fleet is fitted with GPS trackers Foan expects Formbird to be particularly valuable in helping the council claim its fuel excise levy rebate.

The council can claim a refund on the tax it pays for any fuel used when vehicles are not on public roads and when on public roads if engaged in road repair work. However, it isn’t easy to get accurate data on relevant usage and fuel consumption, so averaging techniques are used.

Brad Foan hopes some functionality can be built into Formbird to make this calculation much more accurate and believes it will significantly increase tax refunds. He is putting forward a business case for installing GPS to every vehicle in the fleet and believes the fuel tax refunds gained from accurate usage reporting will more than cover the costs of these.

Greater Western Water saves with workforce management upgrade

Formbird CLARITY – Industry aligned workforce management app drives efficiency and compliance

Australian low-code software platform Formbird has implemented cost-saving productivity enhancements to its industry-aligned workforce management solution; Formbird CLARITY.

For Greater Western Water in Victoria, the measures will reduce administrative workload equivalent to at least one full-time position. The upgrade project is ongoing and expects to result in savings equal to three full-time positions when completed.

The project aims to improve; productivity, compliance, and safety and take the guesswork out of managing proactive and reactive works on Greater Western Water’s network.

Formbird’s initial implementation of the Formbird CLARITY for Greater Western Water made use of legacy systems including manual entry of critical information by call takers and works administrators. To access the data operators had to source GIS systems and multiple SharePoint spreadsheets.

For example, using manual lookup in the GIS was not an ideal or timely way to locate dialysis patients, requiring essential services.

As you could imagine, in the past, the system was somewhat haphazard. To identify addresses, where multiple disruptions had occurred, admin staff had to “consult” the “hot shutoff block” spreadsheet. This spreadsheet had to be manually maintained and provided only necessary information such as text-based street addresses.

Formbird’s Formbird CLARITY provides critical information required at each step in Greater Western Water’s workflow. A fault report or planned work requirement creates a case. The system determines the streets affected by the network shutoff via the GIS system integrated into Formbird CLARITY. The solution then details related assets, properties and critical sites.

After completing the work, the exact customer’s impacts are recorded if any Guaranteed Service Level rebates are required. By keeping these records in the system, future cases can be supported by updated and more accurate customer impact information.

The latest additions to this industry-aligned app also include providing bulk actions such as invoice load, supervisor review creation and closure of no-cost cases, and a new Works Administrator report to support cases’ identification.

Forbes Shire Council celebrates 12-month milestone

Forbes Shire Council Swaps spreadsheets, a whiteboard and a diary for FLEET.

Forbes Shire Council in New South Wales is the first user to implement Formbird Fleet, and recently completed their first year of using the fleet management information system.

Forbes (located about 5 hours’ drive west of Sydney) has an estimated population of 9,900 and covers an area of 4,720 km².  With just under 200 mobile fleet assets, Forbes has found the system ideally suited to helping them manage their fleet with modern technology.

Forbes Fleet Manager, Anthony Davies, who joined the Council in July 2018, said,

“We are encouraging the elimination of paper-based processes, and data migration off spreadsheet-based systems that require a lot of inefficient manual updating and manipulation for corporate reporting and planning.”  

Anthony explained further, “We started with spreadsheets, a whiteboard and a diary, and are now well on our way to a paperless workshop.  Formbird Fleet has helped us run the workshop more like we would do in a dealership business.”    (Anthony has over 20 years’ experience in the private sector in motor dealerships.) 

Forbes first installed the software in August 2019 and took the route of a staged implementation.  They began with establishing an asset register, followed by implementing scheduled preventative maintenance scheduling and recording reactive repairs.  “Our workshop staff have found the system easy to use  – both the workshop foreman, Ed Burke, and apprentice mechanics, Martin Nash and Nathan Molloy, have quickly taken to the system. Now, all our service and repair history can be found in one place.”   

As the first user of the Formbird Fleet system, Anthony has contributed to the enhancement of the software with valuable feedback.   Forbes are now looking forward to using the improved preventative maintenance forecasting system, the upgrade process also enhanced by Anthony’s comments.

Anthony and his staff have also generously answered questions from prospective users. “We have had visits from neighbouring councils, who have been very impressed with what Forbes have achieved using this system,” said Anthony.   “When visitors ask me what our journey was like, I refer them back to when I started at Forbes with a diary and a whiteboard.  I start here with all of our visitors so that they understand how much we have progressed.  Formbird has made it an easy transition from there to where we are now.”

Forbes Shire Council now has an asset register in Formbird Fleet, with comprehensive data underpinned by the IPWEA Fleet Asset Classifications.   Formbird Fleet has enabled Forbes to progress to an electronic fleet maintenance system, with preventative maintenance and defect management tools based on the IPWEA Fleet Maintenance Codes.  

Anthony currently produces a monthly fleet report for the Shire Council’s senior management.   He says, “Formbird Fleet makes it easy to capture and record data, and easy to provide impressive reports for Council which have improved the visibility status of the fleet department.”

Forbes is planning next to arrange Formbird Fleet integration with Civica Authority to enhance the corporate data assimilation process.
